Payment, Cancellation & Refund Policy

1. Payment Terms

Session fees are due after each completed session, unless otherwise agreed in writing.

The booking platform securely collects a credit card on file.


However, primary payment is typically made via e-Transfer (EMT) following each session.

Credit card information is kept on file solely for the purpose of:

  • Late payments

  • Late cancellations

  • Missed appointments (no-shows)

 2. Cancellation & Rescheduling Policy

If you need to cancel or reschedule your appointment, please provide at least 24 hours’ notice.

  • Cancellations with 24+ hours’ notice: No charge

  • Cancellations with less than 24 hours’ notice: Full session fee applies

  • Missed appointments (no-show): Full session fee applies

This policy allows the reserved time to be offered to others seeking support.

Emergency Situations

Emergencies may be considered on a case-by-case basis. Please reach out as soon as possible if unexpected circumstances arise.

3. Late Payment

Payment is expected promptly after each session.

If payment is not received within a reasonable timeframe:

  • The credit card on file may be charged for the outstanding balance

  • Future appointments may be paused until payment is resolved

4. Refunds

Because psychotherapy services involve time specifically reserved for each client:

  • Completed sessions are non-refundable

  • Late cancellations and missed appointments are non-refundable

If a significant technical issue disrupts an online session, we will work together to determine an appropriate solution (e.g., rescheduling or partial adjustment).

5. Insurance Claims

Clients are responsible for submitting receipts to their insurance provider.

Reimbursement decisions are made by the insurance company and are not guaranteed by UnfoldVoices Counselling.
